Booking Terms and conditions

We want booking with Muddy MTB to be straightforward and fair. We also understand that plans change, children get ill and sometimes things just happen.
These terms explain what happens when you book a Muddy MTB session.
1. Making a booking
A place on a Muddy MTB session is only confirmed once the booking has been completed and payment has been received.
When making a booking, please make sure the information you provide about your child is accurate and up to date, including any medical conditions, allergies, additional needs or other information that may affect their participation.
2. Cancelling your booking
If you can no longer attend, please let us know as soon as possible.
Because our sessions have limited spaces and we commit to coaches, venues and other costs in advance, bookings are non-refundable and we are not obliged to provide a refund or transfer if you choose to cancel or do not attend.
That said, we understand that stuff happens.
Where you give us reasonable notice, we'll always do our best to help. Depending on the circumstances and availability, we may be able to:
move your booking to another suitable Muddy MTB session;
provide you with credit towards a future session; or
offer a refund, particularly if we're able to fill your child's place.
Any refund, credit or transfer offered following a customer cancellation is at Muddy MTB's discretion and isn't guaranteed.
3. Illness
Please don't bring your child to a session if they are unwell or if attending could pose a risk to them or other participants.
If illness means your child cannot attend, please contact us as early as possible. While our normal cancellation terms still apply, we'll do our best to find a reasonable solution where we can.
4. If Muddy MTB cancels a session
Occasionally, we may need to cancel a session because of low class sizes or circumstances beyond our reasonable control. These may include severe weather, unsafe riding conditions, coach illness, or issues with the venue.
If Muddy MTB cancels a session, we'll normally offer you the choice of:
transferring your booking to another suitable session;
receiving credit towards a future Muddy MTB session; or
receiving a refund for the cancelled session.
5. Weather and riding conditions
Mountain biking is an outdoor activity and our sessions will usually go ahead in rain, mud and other normal British weather conditions.
We may change the route, location, activities or format of a session where necessary to keep it safe and enjoyable.
If conditions are considered unsafe, including because of extreme weather or trail conditions, we may postpone, relocate or cancel the session.
6. Safety and behaviour
Mountain biking involves inherent risks, including falls, collisions and injury. Our coaches will take reasonable steps to manage these risks and provide activities appropriate to the group.
Participants are expected to:
follow instructions from Muddy MTB coaches;
behave respectfully towards coaches, other riders and members of the public;
ride within the boundaries and areas specified by coaches; and
use equipment appropriate for the activity.
We reserve the right to stop a child participating where we reasonably believe continuing would put them or others at risk.
7. Bikes and equipment
Unless specifically stated otherwise for a particular session, participants are responsible for bringing a suitable, safe and properly functioning bike and an appropriately fitted cycling helmet.
We may carry out basic visual safety checks, but parents and guardians remain responsible for ensuring their child's bike and equipment are safe and suitable for use.
If we believe a bike, helmet or other equipment is unsafe, we may prevent the participant from riding until the issue can be resolved.
8. Medical information and additional needs
Please tell us about any medical conditions, allergies, medication, disabilities, additional needs or other information that may be relevant to your child's safe participation.
Providing this information helps our coaches make appropriate adjustments and respond effectively if something happens during a session.
If you're unsure whether something is relevant, please contact us before the session.
9. Emergencies and first aid
Our coaches will take reasonable action to safeguard participants during Muddy MTB activities.
Where necessary, this may include administering first aid, contacting a parent or guardian, or seeking assistance from the emergency services.
Please ensure the emergency contact details supplied with your booking are accurate and that the nominated person can be contacted during the session.
10. Late arrival and collection
Please arrive in sufficient time for your child to be ready for the start of their session.
If you're running late, please contact us where possible.
Parents and guardians are responsible for arranging prompt collection at the end of a session where collection is required.
11. Changes to sessions
We may occasionally need to change a coach, route, activity, meeting point or other aspect of a session.
Where a significant change is necessary, we'll make reasonable efforts to let you know in advance.
12. Liability
Nothing in these terms excludes or limits any liability that cannot legally be excluded or limited, including liability for death or personal injury caused by our negligence.
Muddy MTB isn't responsible for loss or damage that wasn't reasonably foreseeable or that wasn't caused by a breach of our legal obligations.
Participants remain responsible for their own personal belongings and equipment.
13. Photography and video
Photography or video may be taken at some Muddy MTB sessions.
We will respect the photography permissions provided for each participant and will only use identifiable images of children for promotional purposes where appropriate permission has been given.

We want children to be able to ride with us, so where plans change we'll always try to find a practical solution where we reasonably can, while recognising that our sessions have limited spaces and costs that we commit to in advance.
